Voicemail Access Guide

Voicemail Access and Management

It is important that all personnel properly manage their voicemails especially when not in the office, this reduces the potential of having a full voice-mailbox that may prevent a caller from leaving an important message.

There are three ways to check and manage your voicemail messages.

Voicemail to Email:

All the office voicemails are sent an attachment to your email from unityconnection@unity.rudin.com . If you have received a voicemail as an email, and have listened to the attached recording, you can delete that email from your Inbox to free up your

voice-mailbox storage. After 24 hours, the deleted voicemail is purged from the system increasing your available storage. It is important to note that voicemail storage is different from your email storage and can range between 45 minutes to 1 hour of total available space. If left unmanaged, voicemails kept within your Inbox are never deleted automatically and can reduce your overall voicemail capacity. If you would like to keep a copy of that voicemail without affecting your storage, it is recommended you save the attached recording as a file on your computer and then delete the email. Alternatively, voicemail messages that have been permanently deleted from your Inbox are retrievable from Mimecast at any time.

Accessing your Voicemail while “Out” of the office:

To access your voicemail while out of the office please follow these steps.

    1. Dial 212-407-2727
    2. Enter your ID followed by # – This is your extension, example 2400#
    3. Enter your PIN – This is your 4-digit voicemail password. If you do not remember your password, please email help@rudin.com to have it reset.
    4. Once logged in, listen to the guided instructions for listening to new messages, reviewing old messages, or deleting a message at any time, along with additional setup options like setting up greetings and away messages.

Accessing your Voicemail while “In” of the office:

To access your voicemail from the office, simply press the voicemail button on your Cisco 8800 series phone and listen to the guided instructions.

If your voice-mailbox is near capacity, you will receive an email from unityconnection@unity.rudin.com prompting to delete voice-messages to reduce your quota size immediately.
